Step

Step 1: Open a new Chat and attach the profile

Stay on Chat. Attach the file. Do not start without it. Paper path.

1. Open a new Chat

Stay on Chat — not Work, not Cowork, not Code. If the product is Gemini, use Gemini Enterprise. If the product is Copilot, use Microsoft 365 Copilot Chat. Do not create a Project or an Agent. Do not continue Thursday's chat.

2. Attach the updated profile

Attach Thursday's updated Personalized AI Profile to this chat. A new Chat does not already have it. One chat attach does not carry into the next new Chat. If attach is not available, paste the profile at the top of this Chat. That paste is this conversation only. It does not make the next new Chat know you. Do not send a work prompt until the file is attached.

You do

Open a new Chat. Stay on Chat. Attach the Personalized AI Profile. Do not start without the file.

AI does

Has the profile for this conversation only.

Step

Step 2: Pick one prompt

Paste one in this same chat. Run more if you have time. You only need one now. Pick the prompt that matches your work. Paste it in the same chat that already has the profile. You can run more than one if you have time. You only need one now. Use a safe real example if you have one. If you do not, swap names for roles and numbers for ranges. Do not paste real customer names, dollar figures, credentials, or confidential transcripts. Each prompt tells the chat to ask clarifying questions. That is a good habit if you want more consistent outputs. You are learning that at the same time as you use the profile.

1. Internal email

Paste the Internal email prompt in this same chat.

Internal email
Draft an internal email I actually need to send.

Use my role, the people I work with, my terminology, and my constraints from the attached Personalized AI Profile. Do not invent company, customer, employee, product, pricing, policy, or project facts.

I will add a class-safe example in my answers — a real one I am allowed to share, or one with names swapped for roles and numbers swapped for ranges.

Ask me clarifying questions until you understand exactly what I need.

2. External email

Paste the External email prompt in this same chat.

External email
Draft an external or customer email I actually need to send.

Use my role, audience, terminology, and constraints from the attached Personalized AI Profile. Do not invent company, customer, employee, product, pricing, policy, or project facts.

I will add a class-safe example in my answers — a real one I am allowed to share, or one with names swapped for roles and numbers swapped for ranges.

Ask me clarifying questions until you understand exactly what I need.

3. Brainstorm

Paste the Brainstorm prompt in this same chat.

Brainstorm
Work through an idea with me as a brainstorming partner.

Use my role, priorities, and constraints from the attached Personalized AI Profile so the ideas fit the work I actually do. Do not invent company, customer, employee, product, pricing, policy, or project facts.

Ask me clarifying questions until you understand exactly what I need.

4. Meeting notes

Paste the Meeting notes prompt in this same chat.

Meeting notes
Turn meeting notes or a transcript I will paste into action items, takeaways, and decisions made.

Use my role, the people I work with, and my terminology from the attached Personalized AI Profile. I will paste a class-safe example — a real one I am allowed to share, or one with names swapped for roles and numbers swapped for ranges. Do not invent attendees, dates, or commitments.

Ask me clarifying questions until you understand exactly what I need.

5. Meeting talking points

Paste the Meeting talking points prompt in this same chat.

Meeting talking points
Prep talking points for a meeting I already have.

Use my role, the people I support, the decisions I regularly make, and my constraints from the attached Personalized AI Profile. Do not invent agenda items, attendees, status, or dates. I will name the meeting type without sharing restricted details.

Ask me clarifying questions until you understand exactly what I need.

Step

Step 3: Answer the clarifying questions

Useful detail you are allowed to give. Relevance does not override permission. Answer with as much useful detail as you are allowed to give. Stay in this same chat. If a question would need a name, a figure, or a record you cannot share, answer with the pattern instead — the role, the type of work, a range — or skip that question. Relevance does not override permission.

Step

Step 4: Review the output

Usable, or missing something. Send the gap back in this same chat. If something is missing, name it and type that back into the same chat. If it is already usable, you just found a new way to use the assistant with this profile. Keep going until you have an output you would actually use, or a clearly better draft you can finish.

Done when

Read the draft. Would you actually use it, or is something missing?

Step

Step 5: Save an updated profile

Paste the update prompt in this same chat. Copy the returned file over the one on disk. The profile is effective, and it is never finished. You will keep improving it as you use it. Products do not reliably attach a file back. Do not wait for an attachment. Copy the returned text and save it over the same Personalized AI Profile on disk.

1. Paste the update prompt

Once you like the output, paste this prompt in the same chat. It reads this conversation plus the attached profile and returns a full updated Personalized AI Profile as plain text.

You do

Paste this block in the same chat. Copy the returned file. Save it over your existing Personalized AI Profile.

AI does

Returns the full updated file as plain text. Same headings. Same order. No new outline.

Update the profile
You have my Personalized AI Profile attached, and this chat used it on a real task.

Return a full updated Personalized AI Profile as plain text I can copy and save over my existing file. Keep the existing headings and section order, including FIRST SETUP CHECK. Do not start a new file. Do not run FIRST SETUP CHECK now. Do not invent a new outline.

Read this chat and the attached file. Add only working preferences that would change the next time I do this kind of task: format, audience, constraints, terminology, or how I want to be helped. Put those under the existing headings they belong in.

Do not add extra biography. Do not fill every blank. Do not invent company, customer, employee, product, pricing, policy, or project facts. If you would have to guess, leave the line as it is.

Never add: passwords, credentials, protected customer information, private employee data, confidential financial details, regulated information, or anything an organization would not allow in an AI tool.

No preamble. Output the full file only. Do not claim you attached a file.

2. Scan added lines

Read the returned file before you save. Both questions still apply to every added line: 1. Does the assistant need this to help with the work? 2. Am I allowed to provide it? If either answer is no, delete that line. If nothing allowed belonged, keep the file as it is. Then save the kept text over your existing Personalized AI Profile on disk. Attach that same file again when you start a new chat. One chat attach does not carry into the next new Chat.

It did not return the full file

Next Reply: return the full updated Personalized AI Profile as plain text, same headings and order as the attached file, including FIRST SETUP CHECK. No preamble. Then copy that version and save it over your file.

It invented company, customer, or project facts

Next Delete guessed lines. Reply: do not invent company, customer, employee, product, pricing, policy, or project facts. If you would have to guess, leave the line as it is. Return the file again, same headings and order as the attached file. Then save that version.

Done when

You attached the file, ran one prompt through clarifying questions, have a usable output (or sent back what was missing), and saved an updated profile over the same file (or confirmed nothing allowed belonged).
